Executive Assistant

General Description

The Executive Assistant (“EA”) is an exciting and challenging position. This position is a critical role within REM, as the EA is a representative of the company and its executives at all times.  The EA position partners with executives and internal departments to accomplish business objectives, maintain and coordinate schedules, and anticipate and fulfill needs.  This role will be privy to confidential information and must develop and maintain a high level of trust with the executives.  The EA will be empowered to evaluate and develop the role as value-add opportunities present themselves.

Specific Responsibilities

  • Uphold a strict level of confidentiality
  • Maintain a knowledge of the R.E. Mason organization and its operations
  • Proficient in working efficiently in a fast-paced environment while juggling multiple tasks at a time
  • Assist executives and managers as needed
  • Create and edit high quality reports and documentation
  • Create professional and dynamic PowerPoint presentations
  • Comfortable working with contracts (event, hotel, catering)
  • Demonstrate proficiency in Word, especially formatting, links, bookmarks and tables
  • Demonstrate proficiency in Excel, especially mail merging, pivot tables, graphs and charts
  • Understand data entry software and perform data entry tasks with accuracy and precision
  • Enter expense reports for multiple executives
  • Convert paper data into a computerized form, keeping integrity intact
  • Organize or assist with group meetings, luncheons, and events
  • Serve as point of contact between customers, vendors, other Emerson representatives and REM associates
  • Documentation of processes and procedures
  • Fill in at switchboard when needed
  • Fill out Customer Questionnaires and NDA’s as needed
  • Willing to obtain NC Notary certification
  • Other duties as assigned

Required Education & Experience

  • Bachelor’s Degree required
  • 8 - 10 years of experience
  • Above average experience/knowledge of all MS Office products
  • Experience exercising discretion and confidentiality with sensitive company information
